Job Description

Under the general supervision of the Manager, the Administrative Assistant (Summer Hire) in our Rental Service Center performs general clerical and administrative duties to assure the office runs smoothly on a daily basis.

Administrative Assistant (Summer Hire) - May/June through August

Essential Responsibilities:

  • Reviews, paperwork required for disbursement and verifies completeness and correctness of all case paperwork received according to the appropriate regulatory, jurisdictional and corporate guideline/requirements.
  • Ensures that each case is reviewed and appropriate notes and documentation are included within the electronic case file. Notifying agents on the issues of each new case within 8 business hours of the new case appearing on their work list.
  • Tracks status of each pending case daily to determine if case information has been received and can now be processed, or if another notification is necessary. Moves cases that have not been resolved within the specified time interval to the Director.
  • Once a case has been processed, calculates commission payments, prepares and approves commission case sheets for case closure.  Submits to accounting for payment to agent.
  • Setup cases for COOP check deposit.
  • Responds to inquiries, phone, email or fax, from Agents, Branch Managers or Landlords concerning the closure of their case.  Performs necessary data entry of case information.
  • Works Revision requests received from agents, Branch Managers or other parties associated with the case to determine the cause of the issue, document the issue and determine disposition of the revision request.
  • Performs other related duties as assigned.

Job Requirements

Qualifications:

  • High School diploma or equivalent combination of training and experience required.
  • 2 or more years of administrative experience required.
  • Strong computer skills in MS Office and strong communication skills
