Under the supervision of the Managing Broker and the Branch Administrator, the Agent Services Coordinator is responsible for the overall front office management. This position focuses on ensuring the Managing Broker and Real Estate Agents function at a high level of productivity. Communication and making sure the systems in place run smoothly is the top priority. This involves preparing and maintaining files in cloud storage. The position requires high competencies in word processing, time management, office organization and management, interpersonal relationship skills, and managing schedules. In addition, the position requires an ability to manage multiple tasks with interruptions, set priorities, take initiative, work independently and be flexible in order to fulfill responsibilities. The Agent Services Coordinator must be professional with exemplary telephone etiquette, display the utmost discretion and have excellent customer relations skills. The efforts of the Agent Services Coordinator are to support the effective and clear communication between Clients, Contractors, Vendors, other Team Members/Real Estate Agents and the Managing Broker.

Agent Services Coordinator

Key Responsibilities:

  • Process new listings and manage listing files through to client closing
  • Maintain bookkeeping records, spreadsheets, invoices, bill reconciliation
  • Manage online files systems
  • Monitor systems weekly and notify Managing Broker or Branch Administrator of any concerns
  • Ensure company equipment is maintained and updated; evaluating new equipment and manage repair process
  • Maintains supplies inventory – including MLS lockboxes and Marketing Signage
  • Create and maintain a procedure manual that documents all systems and standards

 

 

Job Requirements

  • High school graduate or equivalent combination of training and experience.
  • Minimum of two years of graphic design experience; experience with implementing direct mail, farming, and marketing collateral
  • Must have strong computer skills.
  • Extensive working knowledge of Microsoft Word products including MS Word, Excel, Publisher, toolkit, etc. 
  • Real Estate experience preferred
  • Excellent verbal/written communications skills
