Job Description

Under the direct supervision of the Director of Operations and the general supervision of the Regional VP, responsible for communication, data entry, invoice processing, and administrative support within the Corporate Real Estate Services division.
 

Key Responsibilities:

  • Communicate with clients and sales associates regarding status of referred leads. Responsible for ensuring status updates and deadlines are met. Review reports for accuracy, consistency, and thoroughness
  • Enter referral data into customized computer system, ensuring accuracy and completeness of information. Alerts appropriate personnel regarding potential referral conflicts
  • Update customized computer system and 3rd party reporting portals to ensure status is up-to-date in both systems
  • Review commissions (Daily Case Entered) report for referral matches
  • Manage all pre-accounting processes for the Division. This includes receipt and tracking of vendor invoices, fee-based billing services, requesting utility backup information, and the review of reconciliations with sales associates
  • Work with 3rd Party Accounting to resolve any invoice rejections/billing issues
  • Provide clerical and administrative support to Coordinator with email, voice mail, and problem solving; acting as point-of-contact in Coordinator's absence

Job Requirements

Requirements:

  • 3 years of general office experience essential to include use of general office equipment, i.e. telephone, copier, fax, etc.
  • Must have excellent verbal communication skills
  • Knowledge and expertise of Microsoft Office products
  • Real Estate license or knowledge is a plus
  • Social media/graphic design experience is a plus
