Under the direction of the Contracting Services Director and Contracting Services Manager, while working within the Propertyware Maintenance Plus work order management system, the Contracting Services Coordinator will coordinate all projects pertaining to contracting services, repairs and renovations of all managed properties. Work closely with Property Inspectors, Office Managers, and vendors to ensure tasks and projects are completed promptly and efficiently. Document and communicate all contracting services related issues with landlords, tenants, Property Management staff and vendors. Finalize and follow through on the completion of the task/project, invoicing, expense allocations and close out of all projects through Maintenance Plus.

Contracting Services Coordinator

Key Responsibilities:

  • Prioritize all new work requests received through Propertyware with tenant prior to creating a new project and assignment to vendor. Communicate with Landlords and Office Managers regarding tasks and projects created as a result of inspections.
  • Create and monitor all projects within designated Profit Centers, communicating projects status with appropriate individuals (Office Manager, Property Inspectors, owners, vendors, subcontractors, etc.).
  • Coordinate with vendors and Office Manager for signing in and out of keys for properties upon completion of task.
  • Track status of all projects within Maintenance Plus and provide weekly progress updates to Office Manager and Property Inspector for respective area of service.
  • Review and approve all vendor bills unrelated to security deposit disbursements for each project. Follow up on reports of unpaid invoices, lack of funds or other inquiries forwarded from the Customer Service Center.

Job Requirements


  • High school diploma or equivalent
  • Two to three years of relevant experience in general contracting with a strong working knowledge of residential mechanical systems and construction
  • Experience in residential property management
  • Ability to multi-task and possess time management skills are a must
  • Excellent interpersonal, customer service, written and verbal communication skills
  • Must be able to work one Saturday per month and rotate office hours between 9 AM - 5 PM and 10 AM - 6 PM
